Job Summary: We are seeking a proactive and experienced Medical Office Manager to oversee the daily operations of our busy practice. The ideal candidate will have a minimum of 2 years of experience in a similar role and a strong understanding of medical office procedures, billing, and staff management. This role is crucial for ensuring the smooth and efficient running of the office, supporting our staff, and maintaining a positive patient experience.

Key Responsibilities:

  • Staff Management & Leadership:

    • Supervise and mentor all administrative and clinical staff.

    • Conduct staff meetings and performance reviews.

    • Manage staff schedules, payroll, and time-off requests.

    • Foster a positive and collaborative work environment.

  • Administrative & Operational Oversight:

    • Oversee day-to-day office operations, including patient scheduling, billing, and record management.

    • Ensure compliance with all healthcare regulations and privacy laws (e.g., HIPAA).

    • Manage office supplies, equipment, and facility maintenance.

    • Implement and optimize office policies and procedures to improve efficiency.

  • Financial & Billing:

    • Oversee patient billing, coding, and collections.

    • Liaise with insurance companies to resolve billing disputes.

    • Manage the office budget, accounts payable, and accounts receivable.

  • Patient & Customer Service:

    • Address patient inquiries, concerns, and complaints with professionalism and care.

    • Ensure a high standard of patient service is maintained by all staff.

    • Develop and implement strategies to enhance the overall patient experience.

Qualifications:

  • Minimum of 2 years of experience as a Medical Office Manager or in a similar supervisory role within a medical office setting.

  • Strong understanding of medical billing, coding, and insurance processes.

  • Knowledge of healthcare regulations, including HIPAA.

  • Proficiency in medical office software and electronic health records (EHR) systems.

  • Excellent leadership, communication, and interpersonal skills.

  • Strong organizational and problem-solving abilities.

  • Ability to multitask and manage competing priorities in a fast-paced environment.

  • Bachelor's degree in healthcare administration, business, or a related field is a plus.

Physical Requirements:

  • Primarily a sedentary role, but may require occasional standing, walking, and lifting of office supplies (up to 20 lbs).
