Job Description
Seeking a Property Operations Manager / Estate Manager to oversee and manage the daily operations of a high-end private estate in the Galleria area. A successful candidate will be responsible for maintaining the household's smooth operation, supervising staff, managing vendors, and ensuring a comfortable and efficient living environment for the family.
RESPONSIBILITIES:
- Complete oversight of principal’s homes; maintaining consistency of standards, procedures, and services.
- Manage household staff and oversee daily operations.
- Negotiate and manage contractors, supervise work, review and submit invoices.
- Prepare realistic plans to address needs and conduct regular walkthroughs and daily checklists.
- Work with, schedule, supervise and upkeep of maintenance schedules for household vendors: HVAC, electrician, plumbing, generator, well systems, etc.
- Supervise construction and renovation projects, from design to coordination of schedules, inspections during various construction phases, monitoring permits, and daily oversight of subcontractors.
- Ensure projects are executed in accordance with designs, budgets, and schedules.
- Maintain seasonal routines and procedures for the household interior and exterior needs: landscaping, window washing, power washing, etc.
- Becoming highly familiar with systems in order to self-troubleshoot immediately whenever possible; while maintaining strong relationships with vendors to ensure quality rapid professional assistance is available when needed.
- Order and maintain household supplies and personal stock
- Organize, package, ship and receive deliveries and packages
- Maintain and update household manuals, warranty information, policies, procedures, standards and systems.
- Basic auto maintenance and liaison with professional auto maintenance when necessary.
- Safely drive principal(s) to various destinations and maintain vehicles.
- Be available 24/7 for family members; questions, requests or service.
- Assist with pet care for small dog.
- Handle any special requests, duties or errands.
QUALIFICATIONS:
- 3+ years of “hands on” experience managing high-end private homes and staff
- Strong understanding of household mechanical systems, appliances, technology and routine maintenance practices of these systems.
- Extremely IT literate. Fluent user of smart home technology and smart wearable technology, Microsoft Windows, Microsoft Office, Zoom & Adobe Software + Apple iPhone & iPad. Adept at troubleshooting and solving basic consumer and business IT problems. IT competency will be tested at interview.
- Flexible and adaptable to rapidly and constantly changing circumstances, priorities, and schedules as required.
- Professional, service and detail oriented, with a can-do attitude.
- Flexible scheduling with availability to work overtime and weekends as needed. A 24/7 mentality.
- Excellent administrative and written communication skills.
- Discreet, trustworthy, and able to maintain strict confidentiality.
- Valid driver’s license with a clean driving record.
- Able to pass background check, including criminal and credit checks.
- Some travel may be required.
